Role Overview

This is a core Administrative Assistant role for someone who operates with ownership.

TRIFECTA is hiring an experienced Administrative Assistant to support executive leadership and keep daily operations moving without friction. You will sit close to decisions, protect priorities, and ensure important work gets finished—not stalled.

This role is administrative at its core , with exposure to sales support and recruiting coordination as part of the operation.

This is not clerical work .

It is execution support inside a mission-critical organization .

High performers expand into Executive Assistant scope through consistent execution and results.

 

What You Will Be Responsible For

  • Owning executive scheduling, coordination, and follow-ups
  • Keeping leadership priorities organized, tracked, and executed
  • Making sure follow-ups close, not linger
  • Managing calendars, documents, and internal coordination
  • Supporting sales activity (CRM updates, call scheduling, follow-up tracking)
  • Supporting recruiting coordination (interview scheduling, candidate communication)
  • Preparing clear meeting notes, summaries, and action items
  • Communicating professionally with internal teams, candidates, and external contacts

 

What We Expect

  • 2–5 years experience as an Administrative Assistant, Operations Assistant, or Executive Support role
  • Proven experience supporting leaders in fast-moving environments
  • Strong ownership mindset—you take responsibility and close loops
  • Ability to manage multiple priorities without constant direction
  • Proficiency with Google Workspace
  • Comfortable working in a hybrid environment
  • Bilingual (English / Spanish) strongly preferred

 

Helpful, Not Required

  • Exposure to sales support or CRM tools
  • Exposure to recruiting coordination or interview scheduling
  • Background in staffing, professional services, or operations
