Salary: $61,600-$99,365

General Summary of Duties: The Practice Manager will be primarily responsible for direct onsite management of the daily operations of the clinic. This includes maintenance of high standards of quality in leadership, decision making and continuous performance improvement. Will be responsible for direct and indirect supervision of clerical, scheduling and clinical personnel, to ensure the proper functioning and with a focus on patient satisfaction and care coordination and the use of technological solutions to meet practice goals.

Supervision Received: Reports to Chief Operations Officer

ESSENTIAL FUNCTIONS:

  1. Coordinates with other Department Supervisor/managers and the Chief Operations Officer to ensure cooperative resolution of Practice problems. Resolves patient and staff complaints to a satisfactory conclusion.

2. Direct or indirect oversight of all clinic employees including primary responsibility for onboarding oversight, evaluation and counseling for all scheduling, clinical and clerical staff. Along with the COO, provides disciplinary procedures. Makes recommendations for hiring/dismissal actions and for methods to improve the operation of the practice.

3. Maintains office location staff attendance records and training records for both clinical and clerical staff; coordinates employee vacations and other non-work time to ensure adequate availability of all scheduling, clinical and clerical staff and proper utilization of physicians time versus patient flow in scheduling in the clinic suite. Maintains current files on employees.

4. Maintains currency in all office location tasks including surgical scheduling, clinical and clerical.

5. Meets with COO and other Department Supervisors weekly to stay up to date on Practice issues and policies in order to disseminate appropriate information to the practice staff.

6. Works on behalf of the Practice to ensure loyalty to the organization and ensures that staff are included in all organization wide activities.

7. Works with COO to maintain the physical plant. Oversees maintenance of Suite 260 and medical equipment in accordance with Practice guidelines.

8. Schedules and coordinates at least one training or office meeting per month, coordinating it with all practice leaders to ensure Practice wide dissemination of appropriate information. Ensures currency of clinic training and operating instructions and maintains records of same.

9. Conducts new employee orientation for newly hired Practice employees in regard to responsibilities of that new hire.

10. Serves as Supervisor of the Refractive Coordinators with responsibility of working with the team toward increased LASIK and Refractive Cataract surgery volume, and completion of duties. Attends focus group meetings monthly with Marketing group the 2nd Monday of each month.

11. Performs other job related tasks as requested by COO or physicians

Education: College degree preferred

Experience: At least 5 years or more of related work experience. Experience as an Office manager or Ophthalmic/Optometric experience preferred.

Certificate/License: Must have a medical background, EMT certification, etc.

Knowledge:

  • Knowledge of organizational policies, procedures and systems.
  • Working knowledge of computers. Experience with a fully-integrated medical office software package would be extremely beneficial.
  • Knowledge of research methods and procedures sufficient to compile data and prepare reports.
  • Knowledge of grammar, spelling and punctuation.
  • Basic knowledge of concepts such as purchasing, budgeting, and inventory control.

Physical/Mental Demands: Requires sitting and standing associated with a normal office environment.

Environmental/Working Conditions: Normal office environment; must be willing to travel or relocate within a 2 hour radius.

Security Clearance: Advanced
